Job Opening: Director of Operations

Mary Abbott Children's House is seeking a Director of Operations. This position is full time. Candidates must have a passion for raising community awareness for child abuse prevention and response.

The Director of Operations will help define the process and implement the infrastructure and systems needed to sustain the organization and foster growth. She/he will continue to build and manage effective and streamlined administrative systems, including financial, accounting, human resources (HR), and physical infrastructure.

The Director of Operations is a full-time staff position under the supervision of the Executive Director. Duties will include, but are not limited to:

  1. Assume primary responsibilities for Abbott House receivables, including preparation of deposits and entry into QuickBooks.
  2. Preparation and finalization of monthly and annual financial reporting materials and metrics for Abbott House Board of Directors.
  3. Oversee budgeting, financial forecasting, and cash flow for organization.
  4. Help reconcile monthly financial activity.
  5. Manage logistics of recurring credit card and EFT donations.
  6. Oversee credit card donation system.
  7. Prepare, issue and record remittance for all Abbott House payables.
  8. Prepare donor acknowledgement letters as well as annual tax letters.
  9. Coordinate all audit activities.
  10. Assist with payroll and benefits tasks and planning.
  11. Assist the Director of Community Engagement in monitoring grant expenditures with regard to timelines, specific grant stipulations, and remaining balances.
  12. Assume primary responsibility for all facility management including supervision of system maintenance (phone system, security, cleaning, company, etc.)
  13. Serve as liaison to IT consultant and coordinate efforts from other entities (phone, internet, etc).
  14. Provide a supporting role in board facilitation and relationship development, especially as it relates to the Board Finance Committee.
  15. Assume Logistical responsibility for Abbott House events in conjunction with the Executive Director and Director of Community Engagement.


The Director of Operations will have at least five years of professional experience, including managing the finance and administration of an organization (preference given to nonprofit experience). She/he will have experience in accounting that would demonstrate a clear understanding of all areas of bookkeeping; including general ledger, subsidiary ledgers, journal entries, financial statements, accounts receivable, accounts payable, and payroll.

The director of finance and administration will have the following experience and attributes:

  • Bachelor's degree or equivalent experience in the area of accounting.
  • Extensive knowledge of QuickBooks.
  • Excellent people skills, with experience collaborating in a multidisciplinary, diverse, and dynamic team
  • Demonstrated experience in financial management and accounting, ideally in the nonprofit sector
  • Experience should include audit, compliance, budget, and system development.
  • Demonstrated resourcefulness in setting priorities and proposing new ways of creating efficiencies
  • Proven effectiveness leading professionals in finance and accounting
  • Flexible and a self-starter; able to multitask while also being highly detail-oriented
  • Personal qualities of integrity, credibility, and a commitment to the mission of Mary Abbott Children's House.
